Facility Manager – India & South Asia

The Job

As the Facilities Manager this position will be responsible for inspecting, maintaining, and repairing mechanical, electrical, plumbing, and HVAC systems to ensure optimal operating results. The successful candidate will oversee the company’s facility operations, manage staff, manage office moves and manage janitorial duties, all while remaining in compliance with local, state and federal regulations.

Reporting: This position reports to People Director, India and South Asia

Facility Management:

  • Provide best in class facility service and support for offices in India.
  • Manage the overall services provided within the facility
  • Participate in the relocation and development of our premises internally and externally
  • Organisation of the communication and administrative relation with renter (preparation of documents, interaction with the rental department, preparation of passes for car entry)
  • Organization of minor repairs in the office with the involvement of contractors from third parties
  • Track building upkeep as well as anticipated long- and short-term improvements and maintenance
  • Keep the surrounding grounds properly cared for and landscaped
  • Ensure the security of the building by researching and implementing various security measures, such as surveillance cameras or security staff members
  • Maintain adequate parts inventory and order items as necessary
  • Maintain and track AMCs, Asset Tagging, Insurance etc.
  • Work on efficient and hygienic cafeteria services and management.

Vendor Management and Governance:

  • Manage the relationship with all our suppliers and external service providers (security, housekeeping agencies, electricity, Water, etc.)
  • Ensure high standard of service and delivery from vendors
  • Oversee and ensure 100% compliance followed by Vendor, Contractors, Security vendors and conduct regular audits where required.

Budget Management & Governance:

  • Maintaining a budget for office expenses
  • Tracking budget versus actuals against all line items and track it in line with the finance and budget reporting requirements.

Travel Planning and Co-ordination

  • Support with domestic and international travel booking and support by liaison closely with the travel partner / vendor
  • Education and awareness with stakeholders on Travel related guidelines including usage and support on the Travel management portal
  • Track / Maintain dashboard related to travel requests, accommodation and incidental support
  • Work with travel partners to get best rates and efficiency where possible.

Compliance & CSR:

  • CSR reporting and compliance from facility and office management
  • Ensuring that facilities meet government regulations and environmental, health and security standards
  • Respond to emergency situations or other urgent issues involving the facility

Other Office Management and Support:

  • Interview and hire facility employees and contractors, such as maintenance staff and janitorial services, security services.
  • Handle certain administrative tasks, such as preparing reports for facility owners
  • Allocating and managing space between buildings
  • Support HR, IT and business teams with engagement related activities, meetings, parties, and support.

You should have:

  • 7-8 yrs of experience in facility management
  • Bachelor’s degree in civil engineering or related discipline, facilities management, or a related field;
  • Able to read and understand complex electrical, mechanical, plumbing, repairing and automation systems
  • Working knowledge of electrical, mechanical and HVAC systems
  • Time-management skills;
  • familiarity with building upkeep, structural issues, and grounds maintenance;
  • budgeting skills; interpersonal and communication skills;
  • Collaboration and team work along with Stakeholder Management

Accounts & Taxation Manager

The Job

We’re seeking a result-oriented professional with experience in preparing, examining and analyzing accounting records, financial statements, budgets and other financial reports, independently handling direct and indirect tax compliance, statutory, tax and transfer pricing audits. 

The role will have a bifurcation 60:40 ratio, with 60% dedicated to tax and compliance and 40% to accounting activities. 

The incumbent will report to the Head of Accounting. 

Responsibilities: 

Accounting: 

  • Review general ledger balances, understand trends and challenge any anomalies 
  • Review and approve monthly Trial Balance, Balance Sheet & P&L’s reports 
  • Finalisation and reporting of accounts on monthly, quarterly, and yearly basis 
  • Ensure compliance with Ind AS/I-GAAP 
  • Overlook maintenance of day-to-day accounting on SAGE of Indian group subsidiaries 
  • Review and validate the monthly/quarterly/annual closing entries 
  • Assisting corporate office on need basis for global consolidation of accounts 
  • Coordinating/interaction with auditors of respective entities for completion of limited reviews and year-end audit. 
  • Coordinating/interaction with various consultant appointed by group for statutory activities and other consulting services 

Direct & Indirect Tax Compliance: 

  • Statutory and regulatory compliance like Income tax, GST, TDS, etc.  
  • Independently handling statutory/tax/transfer pricing audits 
  • Track, prepare and submit responses to various departmental notices/scrutiny’s/assessments including representations 
  • Miscellaneous tasks: 
  • Effective interaction with other departments, units and subsidiaries of the Company for various activities on timely basis, 
  • Management and development of Internal financial controls and processes. 
  • Review proposed business transactions and provide guidance to stakeholders both from accounting and compliance perspective 
  • Identify and escalate control issues, errors and identify efficiency opportunities 
  • Provide local management with quality financial analysis for financial results and its implication. 

Mandatory Skills: 

  • The role would involve performing tasks and managing the team as well as meeting deadlines and strive to continuously improve the quality.
  • Require hands on experience in the areas of accounting & direct and indirect tax compliances and departmental representations 
  • Strong communication and people skill is essential. Ability to independently communicate with senior leaders in the business 
  • Team managing experience would be required 
  • Must have an eye for detail and should possess strong strategic & analytical skills. 

Desired Skills: 

  • Big 4 experience in tax would be an added advantage

Associate Business Affairs – Legal & Company Secretary

The Job

Missions:

You will be in charge of managing the secretarial and legal matters of the affiliated companies of the Believe Group in India, mostly in Contract, IP law and Companies Act. You will ensure the Group’s templates of contract and the Group’s processes are applied.

The role will have a bifurcation 70:30 ratio, with 70% dedicated to legal and 30% towards company secretary.  

In practical terms, your tasks and responsibilities shall be:

  • corporate matters such as preparing agendas and papers for board meetings, committees, and annual general meetings (AGMs/EGMs), convene and service AGMs, take minutes, draft resolutions, and lodge required forms and annual returns with appropriate departments, maintain statutory books, including registers of members, directors, paying dividends to shareholders and manage share option schemes
  • internal compliances as per Indian Company Laws, FEMA Laws
  • liaise with external regulators and advisers such as lawyers, consultants and auditors
  • develop and oversee the systems that ensure the company complies with all applicable codes, in addition to its legal and statutory requirements
  • assist the team with valuable inputs related mergers, acquisitions, slump sales and amalgamations including post integration
  • manage contractual agreements with suppliers and customers including drafting, vetting and negotiations of agreements and addendums/amendments
  • handle pre-litigation and litigation matters including public notices, legal notices; reporting to our head of litigation in Paris and with external lawyers where necessary;
  • CSR and Trademark compliances
  • coordinate internal stakeholders for assisting in drafting of inter-company agreements, policies and procedures, maintain SOPs and trackers.
  • research and prepare legal opinions on various topics
  • resolve day to day legal queries raised by multiple stakeholders of the Group

In this framework, you will report in to the Believe Legal Director in India. You will work on a day-to-day basis with people located in India and with the Central Legal Department located in France.

You will have a proactive approach and will pay constant attention to support the needs and deployment of the Group, while you will protect its interests. The working environment is Indian and international, with a huge growth and ongoing restructuring.

You are known to be a team player and your organizational skills. You are thorough, autonomous and have good adaptation skills. You have a proven aptitude for management and reporting and are used to working with Groups headquartered out of India. Your inter-personal skills enable you to communicate with many persons, at different levels of the Group in India and abroad.

Demonstrated ability to draft, review, and negotiate contracts and agreements, with strong attention to detail and excellent negotiation skills.

Exceptional organisational skills with the ability to manage multiple projects, prioritise tasks, and meet deadlines effectively.

The preferred candidate should exhibit a natural ability and familiarity with a tech-driven environment notably through usage of contracting and CRM tools, excellent abilities with digital platforms and advanced proficiency with Microsoft Office suite.

Must Have’s:
