Jr Executive Assistant

The Job

Salary range: $50-70k

The tasks and responsibilities of this position include, but are not limited to:

Communication & Scheduling

  • Schedule – Manage complex and ever-changing day-to-day schedules of the C-suite via Microsoft Outlook, scheduling and organizing meetings across multiple time zones.
  • Calendar – Schedules meetings and ensures that all preparations are made prior to the meeting time. Book conference rooms, confirm all necessary participants, request and add relevant materials / documents to invites, arrange video call instructions, register visitors, order food (if necessary) and have all materials printed and ready for all participating parties.
  • Meetings- Prepare for meetings and appointments by confirming necessary materials / agendas, preparing conference rooms and working directly with IT on audio/visual needs
  • Email Correspondence – Correspond with TuneCore and Believe leadership as well as internal and external partners (candidates, vendors, etc.,) on behalf of the Chief Financial and Strategy Officer (CFSO)
  • Confidential Information – Handle confidential information meticulously; escalate any required information with discretion, ensure proper and timely follow up on all agenda items
  • Proactivity – Ensure CFSO remains organized and on-schedule through proactive, consistent communication throughout the day


  • Travel – Book and prepare comprehensive travel arrangements (for complex international and domestic itineraries) for the Chief Executive Officer (CEO), Chief Revenue Officer (CRO), and CFSO as needed (flights, hotels, visas, car service, reservations, meeting agendas, etc.).

Department Support

  • Establish and nourish relationships at very senior levels of Believe maintaining a professional demeanor and ease of access to top executives
  • Partner with TuneCore Executive Assistant, Believe Executive Assistants and TuneCore department leaders to align calendars
  • Additional ad-hoc departmental and company projects

Financial Management

  • Oversee CFSO and departmental expenses submitting all necessary T&E in Expensify in a timely manner
  • Reconciling and processing invoices for travel



  • At least 2+ years Executive Assistant experience

  • Experience supporting C-level executives at medium or small companies

  • Experience booking both domestic and international travel for senior-level executives with complex travel schedules (flights, ground transportation, and hotel logistics)

  • High emotional intelligence; ability to work across different teams, businesses, and personalities

  • Excellent verbal and written communication skills and ability to work independently with minimal supervision as well as part of a team

  • Significant experience working in Microsoft Outlook required

  • Highly proficient in all other Microsoft Programs (Excel, Word, etc.) and Google Workspace (Google Docs, Google Sheets, etc.)

  • Experience managing highly sensitive information with discretion and professionalism

  • Strong ability to work well under pressure in a fast-paced environment with a positive attitude

  • Highly organized; a strategic planner able to create, implement and improve organizational systems, both digital and physical files

  • Ability to work proactively with a solution-oriented mindset and a can-do attitude; always thinking one-step-ahead

  • Demonstrated project management skills

  • Enjoys working with and supporting others

  • Ability to show initiative and flexibility

  • Impeccable attention to detail

  • Consistent desire to go above and beyond in all capacities

  • Experience working in Music Tech a plus

  • Appreciation for working in a multi-cultural environment

  • French Speaker a plus

Additional Information

This role will be based out of our New York office. TuneCore operates on an in-office and remote hybrid model giving our teams flexibility and choice of how they work. When our employees return to the office post COVID they will have the option to work predominantly remotely and work from the office 7 days per month on a flexible schedule organized at the department level.
